Job Summary

Woods Hole Oceanographic Institution is currently searching for a Manager of General Accounting, to join the Finance and Accounting Department. This is a regular, full-time, exempt position, and is eligible for full benefits. The Manager of General Accounting is responsible for the accurate and timely recording of the Institution’s Financial Accounting transactions. The Manager will work to ensure that all financial transactions are recorded in line with GAAP and ensure that any necessary changes required due to the introduction of new Accounting Standards or updates to existing Accounting Standards are implemented proactively to the Institution. The Manager will ensure the existence of effective internal controls over accounting transactions within the business processes.

 

The Manager of General Accounting works as a leader on the general accounting team and will manage 3-4 direct reports. This position will consciously foster a positive proactive work environment, set performance goals and review and evaluate staff performance. The manager will encourage staff development and growth. The Manager will also work closely and collaboratively with other teams in the Finance & Accounting department.

 

The Manager of General Accounting will apply sound analytical skills to identify opportunities for enhanced reporting while maintaining adequate internal controls. Strong reconciliation skills are required.

Essential Functions

  • Manages month end financial statement close. This includes establishment and coordination of month-end close timeline, review & approval of month end journals, preparation of monthly financials to include SOP, SOA, Cash Flow Statement, and Net Asset Reconciliation.
  • Manages and reviews month end reconciliation of Job Ledger to General Ledger.
  • Responsible for preparation of the Monthly Financial Statement Executive Summary
  • Responsible for annual financial statement close timeline and coordination with other departments in the Institution to ensure all year end requirements are incorporated to ensure an efficient & effective year end close.
  • Manages and reviews the Institution’s balance sheet reconciliations and preparation of proposed improvements to same as necessary.
  • Manages and leads the annual financial audit to include audit planning, ongoing audit review, liaison with auditors, draft audited financial statement preparation to include Notes to the Financial Statements.
  • Manages and assists in the annual benefit plan audits
  • Assist in the Institution’s IRS Form 990 process and other related tax returns and coordinates completion of tax forms
  • Co ordination and collation of financial accounting information necessary for inclusion in annual budgeting process & submission of same to Director, Financial Planning & Analysis
  • Supervise, coach, develop and review the accounting staff direct reports to include planning, assignment and review of work. Leverage strengths of the current finance team members and enhance as necessary.
  • Responsible for maintaining policies and procedures for general accounting. Provide technical support and advice on existing and new accounting standards to finance and operations, reviews and recommends modifications to accounting systems and procedures.
  • Manage the development and documentation of business processes and accounting policies to maintain and strengthen internal controls, ensures compliance with GAAP principles, liaises with our Director of Accounting & Senior Director Finance to improve financial procedures.
  • Analyze financial data (actual vs budget) and develops projections; identifies problems and creates solutions
  • Ensure appropriate accounting for all transactions, including fixed assets, endowments and other investments, operating expenses, and revenue
  • Ensure compliance with Office of Management and Budget (OMB) and GAAP cost principles
  • Oversee accounting for deferred giving arrangements

 

NON-ESSENTIAL FUNCTIONS:

Education & Experience

Required:

  • Bachelor’s degree in accounting or business administration
  • Minimum of 5 – 7 years of team leadership experience involving both day to day activity management and ongoing professional development of staff.
  • Minimum of 5 years accounting experience in a large multi-faceted organization

  •  Hands on experience of general ledger accounting & balance sheet reconciliation.

  •  Excellent analytical skills.

  •  Expertise in driving continuous improvement and business process management to incorporate system & technology advances

  • Strong analytical, technical, and computer skills.

  • Intermediate/ Advanced Microsoft Excel user.

  • Highly developed attention to detail with excellent written and verbal communication skills

  • Strong work ethic and willingness to work flexible hours to meeting deadlines.

  • Proactive with an ability to effectively manage deadlines & multiple priorities

  • Pride in performance with high ethical standards

  • Ability to plan, organize, implement & review the work of staff members.

  • Ability to work effectively in a collegial manner across all levels of the Institution, maintaining a professional demeanor.

  • Demonstrated ability to use independent judgment, show initiative, problem-solve and direct activities

Desired:

  • Proven experience as an accounting supervisor

  • Thorough knowledge of basic accounting procedures, in-depth understanding of Generally accepted principle (GAAP), awareness of business trends, familiarity with financial accounting statements, experience with general ledger functions and month-end/year end close process

  • Non-profit/government experience preferred

  • Hands on experience with regulatory compliance accounting

  • Experience in Public Accounting a plus

  • CPA highly desirable

 

Physical Requirements

This position is mostly sedentary. This position requires repetitive motion. Occupational requirements include hearing, talking, working with others, and working alone. Prolonged work hours as projects may require.
